Privacy policy
What this website collects, why, who else handles it, how long we keep it, and your rights under the Protection of Personal Information Act (POPIA).
The short version
- No cookies, no analytics, no advertising, no tracking.
- We only get what you type into our two forms: an early-access sign-up, and anonymous feature suggestions.
- We use it only for what the form says, and never sell or share it.
- You can ask to see, correct or delete it at any time: admin@civickind.co.za.
Who we are
SafeClub is built by CivicKind Technologies (Pty) Ltd, Johannesburg, South Africa. We are the responsible party for the personal information this website collects. For anything in this policy, including requests about your information, email admin@civickind.co.za. That inbox also reaches our Information Officer.
This policy covers this website only. The SafeClub app explains how it handles your information inside the app, under Know Your Rights → Privacy & data.
What we collect, and why
If you sign up for early access
- Your email address
- Whether you are a student, a university or residence, a campus society, or other
- Your name and campus or organisation, if you choose to give them
- That you agreed to be emailed about SafeClub's launch
Why: to tell you when SafeClub launches on your campus, and — if you are a university, residence or society — to talk about bringing it to your students. Nothing else. We rely on your consent, which you give with the tickbox on the form and can withdraw at any time.
If you send a feature suggestion
- The area you picked, your idea, and why it would help, if you say
Why: to decide what to build next. The form does not ask for your name or email, so a suggestion is anonymous unless you write something identifying in it — please don't, and please don't name anyone else. We read suggestions in our legitimate interest in improving SafeClub.
If you email us
If a form cannot send and you use your own email app instead, or you write to us directly, we receive your email address and whatever you write, and use them to reply.
What we do not collect
This website sets no cookies and uses no analytics, advertising or tracking tools. Reading the site or the blog gives us nothing about you.
Who else handles it
We never sell your information or share it for anyone else's marketing. Three services are involved in running the website:
- FormSubmit (formsubmit.co) delivers what you send through our forms to our inbox. It is a third-party service and its servers may be outside South Africa, so your submission may be processed abroad on its way to us.
- Google Fonts. Each page loads the Inter typeface from Google, so, as with any website you visit, Google receives your IP address and browser details when the font is fetched. Google may process this outside South Africa.
- Our website host and email provider store the site and our inbox. Hosts keep standard technical logs — such as IP address, the page requested and the time — to run and secure the site. We do not use them to identify visitors.
How long we keep it
- Early-access sign-ups: until we have told you SafeClub is available on your campus, and never longer than 24 months after you signed up. Then we delete them.
- Feature suggestions: for as long as they help us plan. They do not identify you.
- Emails you send us: as long as we need to deal with them, and no longer than 24 months after the conversation ends.
If you ask us to delete your information sooner, we will.
How we keep it safe
Everything you send through this website is encrypted in transit (HTTPS). Submissions are kept in our team inbox, which only the SafeClub team can open, and are not copied into other systems except a private list of early-access sign-ups. No system is perfectly secure; if we believe your information has been accessed without authorisation, we will tell you and the Information Regulator, as POPIA requires.
Your rights
Under POPIA you can:
- ask whether we hold information about you, and for a copy of it;
- ask us to correct it, or to delete it;
- withdraw your consent to launch emails, or object to how we use your information;
- complain to the Information Regulator of South Africa at inforegulator.org.za.
To do any of these, email admin@civickind.co.za. It is free, and we will reply within 30 days. We may ask you to confirm the request comes from the email address we hold, so that nobody else can get your information.
Age
SafeClub's safety and community features are for people aged 18 and older, so please don't sign up for early access if you are younger. If we learn we hold a child's details, we will delete them.
Changes to this policy
If what the website collects changes, we will update this page and the date at the top before the change takes effect. If you are on the early-access list and the change affects you, we will email you.
